THE ROLE 

As Administration Coordinator you will be acting as the first point of contact at our Nedlands office for all visitors and clients. This role is a fulltime position required to work from the Nedlands office providing that vital first impression representing our organisation.

In addition to this you will be responsible for the smooth running of the reception area and provide a diverse range of administrative functions and support to meet the organisation’s needs.

Key tasks include:
  • Overseeing day to day administrative activities of the reception area, ensuring the day to day running of the office is high functioning and operational
  • Handling and directing incoming calls
  • Inbox management including triage and escalation
  • Coordination of the Nedlands reception area
  • Meeting support such as scheduling, minute taking and agenda preparation
  • Providing administrative support to the Chief Operating Officer as required
  • Monitoring and promoting compliance with document management and control processes

 THE CANDIDATE 

As Administration Coordinator, we are looking for a professional, articulate and above all, approachable individual to join our tight knit team. You will be highly reliable and punctual ensuring consistency for the role and the team. 

You will possess a strong administrative background, working with multiple systems, possessing strong computer skills, and an ability to manage multiple concurrent tasks.

We seek someone with: 

  • Excellent organisation and time management skills
  • Self-driven with an ability to adapt and work autonomously
  • Confident and proficient in the suite of Microsoft Office suite
  • High to advanced Excel competency
  • Strong communicator and enjoys a collaborative team approach
  • Have excellent attention to detail
  • Solution focused problem solver
